Expenses overview

Recording costs and reading them in lists and summaries.

In Expenses you record company costs (software, contractors, one-off purchases) with New expense. The list helps you find them again and read outgoing payments; how to fill one in: Recording an expense.

Amount

An expense's Amount is gross, VAT included: it is what you actually pay; for a recurring expense, the amount of each due date. You do not type it: Reneva calculates it from the line items, where you enter the net Price of one unit and the VAT. With a price of €100 and 22% VAT the Total is €122.

If you only know the total that already includes VAT, split it first: €122 gross is entered as a price of €100 with 22% VAT, not as a price of €122, which would become €148.84.

Line-item discount and VAT accept two decimal places; percentage discounts allow up to three integer digits and VAT two. Typing limits do not replace validation when saving.

Recurrence

An expense is one-off or recurring. A recurring expense stays as one row and uses its effective-from date to calculate due dates.

Due date, payment and refund

Payment due date is the planned date; Paid on the actual date. On a settled one-off expense, planned date and method are no longer editable in the upper block: consult the payment under Payments and due dates. For recurring expenses the upper method applies to future payments.

Client appears during creation and while the expense is unpaid; after settlement it is hidden but the association remains.

Supplier refund

It records an incoming movement linked to the original payment. The expense remains Paid and Refunds received shows amount, latest date and partial or full refund; history is also under Notes and attachments. Do not delete the original payment to represent returned money: a reversal is a separate operation.

Payment, status and origin

The Payment badge summarizes due dates and remaining amount:

  • Overdue — the first unsettled due date has passed.
  • To pay — an amount remains to be settled, with no past due dates open.
  • Paid — nothing remains to be settled.

The same applies to recurring expenses: a subscription with its March due date open stays Overdue even if you paid April. In the list badges are informational: open the expense and use the due date's menu in Payments and due dates. In the record the badge takes you to Payments and due dates; the status next to the title opens the status menu if you can edit the expense. Below the title you see "Recorded on…" and the origin.

Status and origin in the list

The Status column appears only for exceptions: Draft, Paused or Archived. Origin distinguishes SDI and FiC arrivals; manual entry has no badge. There is no continuous synchronization with Fatture in Cloud: received documents are acquired once with Import from Fatture in Cloud in Integrations, after a review and your confirmation of the batch. Record new invoices here by hand.

Period and filters

The period filters by expense date: if you cannot find a row, widen the interval or choose See all. Payment, Status and Origin find the situations above; Due date shows overdue and upcoming, Installments distinguishes expenses with a plan. In the list Due date shows the first unsettled date with relative text ("in 5 days"), or a dash if none are open.

Category groups costs: manage it in Settings → Customizations → Expense categories. Line items use the document grid; expenses linked to a document read amounts from it.

Deleting an expense

Delete, in the expense page or among the bulk actions, asks for confirmation and removes the expense with due dates, payments, cash movements and supplier documents: cash and ledgers no longer count it and it cannot be undone. Expenses with a linked self-invoice or a payment that also covers other due dates stay: to hide them use Archive.

An SdI invoice deleted with its expense does not come back on its own: create a new expense and upload its XML as the supplier document.
