VAT and deductibility of an expense

VAT deductible and Cost deductibility, and who decides between the expense and the supplier's document.

An expense carries two tax figures at once: the one paid to the supplier and the one you deduct. They do not always match.

VAT deductible

In the Tax choices box, VAT deductible is the share of VAT you recover. At 100% you recover the whole tax; at 0% the tax becomes cost together with the taxable amount. The default follows the company's regime: 100% under the ordinary regime, 0% under the flat-rate regime and occasional service, where VAT on purchases is never deductible. The field stays editable.

Cost deductibility

Cost deductibility is the share of the cost that lowers your taxable income. It is a different thing from VAT, and it is set separately; Depreciation spreads the cost over more than one year when needed, with entries such as None or 2 years.

These three fields are data for your accountant: they appear in the accountant's package and in the Accounting records, and they do not change the expense's totals.

Who decides between the expense and the document

If the expense is linked to a supplier's document, the Accounting records read the document: stamp duty, VAT nature and amounts come from there, and deductibility, VAT deductible and depreciation disappear from Tax choices. The expense stays the place where you manage payment and installments.

Create self-invoice

For an expense with an original invoice from a foreign supplier, open More actions and choose Create self-invoice, when available. Choose TD17, TD18 or TD19 in the window: the Expense is already selected. Set the date and number and choose Continue to open the editor with the original's line items. Check VAT, notes and totals, then press Save: Reneva generates and validates the XML right away and the document can no longer be edited. Reneva does not decide the tax treatment for you.

The original must remain available and valid, in EUR (any other currency is rejected, even with a verified rate). Check Tax regime: if missing, enter the RF code declared by the supplier before saving, without changing the received invoice. Find the document under Documents → Self-invoices: requirements, sending to the SDI and adjustments are explained there.

If a figure is missing

Check the supplier's document before closing the period: a tax not declared on the document needs to be verified, not left to chance.
