Document list and statuses

Read the list, statuses, due dates and payments for documents.

In Documents you find issued and received documents. Choose the type from the tabs and use the filters to reach the group you need to work on.

When the section is available

It needs the Documents module enabled and a role that can view it. If you cannot see it, ask the person who manages modules and roles.

Reading the list

Each row shows the reference, client or supplier, date and amount. After the type, use search, period and the tab's filters. Clicking an issued document opens its card; a received one opens the details of the stored document.

Fiscal status and the SDI outcome describe the document and its transmission; a due date or a receipt describes its payment.

Self-invoices

If you can create a self-invoice, the Self-invoices tab is always there, even when empty: use Create self-invoice, select the expense, type, date and number, then Continue. Check the line items, VAT and totals in the editor, then press Save: Reneva generates and validates the XML right away and the document can no longer be edited.

The tab contains TD17, TD18 and TD19 documents created from Expenses, standalone TD27 self-invoices and the imported history. For documents created in Reneva, click a row to open the type, number, date, line items, notes and totals.

TD17, TD18, TD19

They require an Expense with an original invoice from a foreign supplier. If none are available, the cards are disabled and the Expense field is hidden: first add the foreign expense and link its original invoice in Expenses. Expense is the first field and cannot be changed after creation; it remains the source for cost, payment and installments, without creating another expense or a receipt.

Before Save, check these requirements:

  • the original invoice is in EUR: any other currency is rejected, even if you have a verified rate;
  • Tax regime shows the RF code from the received invoice; if it is missing, enter the code declared by the supplier before saving. The value stays in the self-invoice without changing the received invoice;
  • for TD18 the supplier is in the European Union.

TD27

It starts without an Expense. The first supported case is self-consumption or free transfer without charging VAT to the recipient, for an Italian company under the ordinary tax regime using EUR, with positive taxable amount and VAT. Both parties are the same company and numbers use the AF27 series. It creates no costs, sales revenue or receipts.

VAT, XML and sending

Reneva reuses the expense's VAT rate when the match is clear; a new line without a rate defaults to 22%, and zero VAT requires a VAT nature. Check amounts before Save: it generates and validates the XML, but does not necessarily send it. Download → Download XML provides the file. Sending to the SDI depends on the channel, as for invoices (Sending to SDI): with included sending it goes out by itself, otherwise you send it and mark it from the badge. TD27 enters the issued-document summary only after proven emission.

Rejections and adjustments

After rejection, correct and resend with the same number. For an issued TD17–TD19, Create adjustment creates a linked Increase or Decrease document: the original stays unchanged. It stays available until the document is sent; after sending, automatic or marked by hand, it stays off and says why (a sending marked by hand cannot be undone). TD27 adjustments are not supported yet.

Imported history

Historical self-invoices remain read-only. Download XML retrieves the original; Download selected includes available files, grouped by the fiscal date's year and month. Numbers, dates and originals do not change; a missing file or one that differs from its verified original cannot be downloaded, and importing adds no transmission or SDI outcome.

The next number follows the readable historical TD17–TD19 sequential numbers of the same year (after 40, 41 is proposed); an occupied number is rejected and numbering that cannot be continued blocks the proposal. An external historical TD27 blocks the series within the same year; the new year stays separate.

Quote status

In the Quotes tab, the Quote status filter shows:

  • Pending — not accepted and not marked as lost; the pill on the sheet is a menu to record an outcome received by voice.
  • Accepted — accepted by the client, transformed, or with the first installment already invoiced.
  • Lost — validity expired (if you marked it Declined, the pill says Declined). Reopen it by choosing Pending from the pill menu.

An expired quote shows the Expired outcome and reopens with a new validity date: number, items, amounts and history stay the original. The Document history shows the newest events first, with outcome, reason and note.

When you invoice the first installment, Reneva marks the quote Accepted with that invoice date and writes it in the history. From then on a past validity date no longer marks it Lost and the quote leaves Due soon and Overdue.

General overview

It shows quote and proforma outcomes, invoice, receipt and credit note statuses and the reasons why Expenses were archived, with each row's share of its document type. These are company counts and do not follow the period selected in Analysis.

Invoiced by category

It splits the total invoiced amount, minus credit notes, across the categories of the lines. Installment invoices count by the client project's line items: a €1,000 installment of a €2,000 website, with €1,200 of Development and €800 of Design, is worth €600 in Development and €400 in Design.

A credit note is split like the invoice it corrects and a line without a category goes to Without category. An installment invoice keeps the categories its lines had when issued or regenerated with Regenerate document; if its lines don't carry them, and for other invoices created from subscriptions or client projects, the current categories of the line items count.

Where clicking a row takes you

An issued document opens its card, a received one the details of the stored document.

The document card

You find line items, amounts, client details and actions: download the PDF, send the document, open a linked document.

When it can be edited

A document is editable only while its status allows it. After collection, electronic transmission or a credit note, use Correcting or cancelling a document. An invoice rejected by the SdI becomes editable again and is resent with the same number.

Status and SDI outcome

Column What it says
Status whether the document is issued, paid, cancelled or in another operational state
SDI outcome the electronic-transmission result, when the document uses it

A document can be issued while its transmission still needs completion: follow the action shown on the row or card.

Due soon and Overdue

Due soon and Overdue show the invoices and pro forma invoices to check, by payment date; on Quotes they look at Valid until and count only quotes not accepted nor lost. Outside Quotes they count documents from every year, like Overdue on the Home page, and for a document paid in instalments only the instalments in that window. Open a row to verify its due date, amount and latest payment status.

On Credit notes the To refund box adds up the cash still to return and the Refund → To refund filter shows only those notes; the action is Record refund on the note's card.

How the tiles count

On every tab Listed counts all visible rows, lost and cancelled included (the status badge tells them apart). Taxable amount adds up only live documents: on Quotes the open and won ones (a quote transformed into an invoice stays accepted), on Pro forma excluding cancelled and transformed ones.

Overdue

The Overdue tile shows the amount of issued documents that are overdue. Clicking it opens the same filtered list, to send a reminder or record the payment.

Rejected

When SDI rejects an electronic invoice the row shows Rejected by SDI. Open it, correct the required detail and follow the issue or resend path.

Record the payment

When you have received the money use Record the payment (when available), choose date and method: the document is settled for its full remaining amount.

For an installment client project, issue from the installment and record payment on the document; for a subscription, use the action on the document or its record. Paths: Client project installments and payments and Due dates and payments.

Mark transmitted

You only need it with the Manual submission channel: with Included submission the invoice is sent on its own and the badge does not appear. After you transmit the XML through your channel use Mark transmitted. It does not mean the recipient received it: that depends on the SDI outcome.

Until you mark it, the invoice (or credit note) shows the red notice "Transmit it by …" (document date plus 12 calendar days); Transmit opens the same confirmation as the badge. In Documents and on Home a red notice counts documents still to transmit; "invoices" and "credit notes" open their tab with the SdI transmission → To transmit filter.

Export

Export CSV downloads the rows in the current view. VAT details shows the taxable amount and tax by rate and nature (for example «22%: 1100.00 / 242.00; 0% N4: 200.00 / 0.00»). At the end: Withholding base, Pension funds (contributions by type), Other withholding, Contributions (their total) and Stamp duty due; Net payable is the total minus withholdings. The monthly and type summary reads totals for the period, with credit notes as negative amounts.

Do not add different documents of the same client project without choosing what you measure: a quote, invoice and receipt can refer to the same project.
