The subscription keeps the calendar of periods; invoices and payments live on the documents. From the subscription's Documents table, open a period's document to record or undo a payment.
To split a payment into installments, use the installments on the document linked to the subscription: the subscription has no installments of its own.
Recording a payment
On the subscription card, open the Documents table and then the period's document. Use Record the payment, enter the date when you received the money and the payment method: the period becomes Paid. The subscription has no payment button of its own: the amount and VAT come from the document.
When the money arrives later
You can record the date when you actually received payment, even after the due date. The period stays in the subscription's Documents table if you need to check it.
How the due date rolls forward
The next due date moves to the following period, according to How often, at two different moments:
- when you issue the document yourself with Create document, the due date does not move: it advances when you record the payment of the current period, and while the period is only Invoiced the date stays the same;
- when the subscription issues on its own, on the due date Reneva closes the period and moves to the next one, even if the client has not paid yet.
Automatic advancing does not wait for payment and does not stop for an old unpaid period: check unpaid periods in the Documents table. If no document is created, the due date still advances (see Periods without a document). For a different date, edit the Next due date on the subscription card.
The Documents table
In the subscription's Documents table you find one row for each period, with the Period column. Documents from the same period stay on the same row: if there is only one, open the row; if there is more than one, use the link for the document you need.
Automatic payment
Automatically mark as paid appears when Generate document is Invoice or Receipt. On the due date Reneva issues the document and records it as collected on that day, never on a past date.
It is not a direct debit: Reneva takes nothing from the client's account and does not check that the money has arrived. If the client pays on another day, or does not pay, the accounting records show a payment that is not there: open the document and use Undo the collection.
Documents issued automatically
When the subscription issues the period document on its own, Reneva also sends it to the client, as you would, if they have an email. You get a summary in the bell; to also get it by email, turn it on in your profile.
Periods without a document
A period stays To issue, without a document, when the subscription does not issue on its own on the due date. This happens if Generate document is Ask me at the due date, if the due date is earlier than the subscription's creation (for example after an import), or if documents are not available. The due date still advances.
From the subscription use Create document: the invoice carries today's date, because documents are not backdated. If the period was collected more than 12 days earlier, the dialog warns that the invoice is late: ask your accountant about the voluntary correction (ravvedimento).
For a period invoiced outside Reneva there is no action that marks it as already issued: it stays To issue and does not stop the following periods. Payments without a document are not recorded from the subscription.
Undoing a payment
If you recorded a payment by mistake, open the period's document from the Documents table and use Undo the collection: the period goes back to Invoiced and the document remains to be collected. To correct the invoice itself you need a credit note, as explained in Correcting or cancelling a document.
