To add a subscription, press New subscription, complete the window and confirm with Create subscription. Here you find what is specific to the list; filters, columns, saved views and period shared by every list are in Reading lists.
The period
The selector at the top narrows the view by due date. Active and paused subscriptions stay visible in every year; drafts and archived ones follow their own year.
The strip's numbers
| Tile | What it says | Click |
|---|---|---|
| Listed | how many rows you are viewing | — |
| Due in 30 days | the amount of subscriptions due in the window | filters due dates |
| Subs./mo | monthly recurring revenue for the view | — |
| My cost/month and Monthly margin | monthly cost and margin, if you can view costs | — |
| Overdue periods | the amount of overdue and unpaid periods, with the number of subscriptions | filters overdue rows |
| Invoiced | the invoices issued this year for these subscriptions, net of credit notes, when the Documents module is active | — |
| To issue | how many subscriptions in the current view have at least one period to invoice; periods with a pro forma payment, even a partial one, are excluded | filters |
How the tiles count
To issue follows the list's search, period, tab and filters: searching for “Hosting” counts only matching subscriptions with a period to invoice. Click the tile to narrow the list to them.
The Due in 30 days and Overdue periods amounts follow the subscription's Tax choices: surcharge, pension funds, withholding and stamp duty. The Total column uses the same rule. For a documented period, Overdue periods shows the actual balance: partial collections reduce it and full collection brings it to zero. Without a document it shows the estimated amount to collect.
Due in 30 days includes all subscription due dates within the window, with estimated stamp duty for each expected document. An issued document covers only its own period: later due dates stay in the forecast. The count shows distinct subscriptions, which you find when you open the link.
The How often tabs
Above the list there is a tab for every How often value. Select one to view only those subscriptions. Their order follows Settings → Customizations → Recurrences.
Specific filters
- Status — choose active, draft, on-hold or archived subscriptions.
- Collection — you can choose more than one state.
- Due date — shows overdue or due subscriptions.
- To issue — non-archived subscriptions with at least one period to invoice. A pro forma with no payments does not exclude the period; a payment, even partial, does.
- User and Only mine — available when there is more than one user.
Status and Collection
Status is the choice made on the card: Draft, Active, Paused or Archived. Collection instead describes the current period and updates from documents, collections and the due date.
| Collection | When you read it |
|---|---|
| Quote created | a quote exists but no document requests payment |
| To collect | the period is open and not recorded as collected |
| Overdue | the due date has passed and the period is not recorded as collected |
| Paid | the period is recorded as collected |
| Reversed/Cancelled | a credit note reversed the period |
To change Status, see Subscription statuses and archive. To record a payment, see Due dates and payments.
The Collection card
In the General overview, the Collection card counts active subscriptions by collection state. Click a row in the card to open the list already filtered.
Remove it and add it again from Add widget.
Columns worth knowing
The initial view depends on the guided-setup choices. From Show/Hide columns, you can add information such as Last notice, Document, Automatic payment, Hours and Profitability, when available for your role and active modules.
The row icons
The envelope opens Notify client with the subscription text ready. The other actions on the subscription are in the More actions menu.
Importing and exporting
Export downloads the rows in view, including the columns you chose. Import uploads a CSV with subscription data.
If you import an exported CSV with the ID column, Reneva updates the subscription instead of duplicating it. Check the bell for a file of any rejected rows.
A CSV cannot change the client of an existing subscription (the row is rejected); amounts of a subscription with several items, discounts or quantities are changed from its form.
