Correcting or cancelling a document

Correct an editable document, use a credit note or cancel a quote.

Open the document from the list: the remedy depends on type and status.

Case What to do
Wrong detail on an editable document Open the document, correct it and save.
Invoice issued by Reneva to the wrong client or with the wrong amount Issue a credit note, then create the correct invoice.
Occasional receipt from a card, without collections Correct the card and use Regenerate document on the receipt.
Quote no longer valid From the status pill choose Declined; to reopen it, Pending.
Pro forma no longer valid Use Cancel pro forma.
Payment recorded by mistake Open the linked document and use Undo the collection: the three cases.

Credit note

To correct an invoice issued by Reneva use Credit note from the More actions menu. The window shows the line items with their amounts: keep an amount to reverse the item, lower it for a partial correction, set 0 to leave the item out. The note cannot reverse more taxable amount than is left on the invoice, rate by rate. After the reversal, issue a new document if the client needs a corrected invoice.

If the electronic invoice has already been transmitted, do not edit it: use the credit note and follow the normal issuing path. On invoices from Fatture in Cloud the action is unavailable; credit notes and originals already archived remain available.

The note stays linked to the invoice and inherits its payment method, which you can change before issuing it. It does not undo a payment already recorded: on its card Open the invoice takes you to Payments (with several due dates, each is managed from its own row) or to the Paid badge (with a single due date).

Refund to the client

If the invoice had already been collected, the note card shows To be refunded to the client: the cash still held, never more than the note amount. Use Record refund: pick the payment, the amount (the remaining balance is proposed) and the date. The Refund movement appears in the Registers with the same account and method as the payment and the notice clears by itself. In Documents, Credit notes tab, To refund shows the total still to return and filters the notes involved.

Full reversal and stamp duty

When the notes cover the whole invoice it counts as reversed and the last note also refunds the stamp duty, if you charged it to the client; a partial note does not. Two notes that close the invoice may differ by one cent due to rounding (Fatture in Cloud and pension funds). The note may have its own stamp duty at your expense, which does not increase the client's credit.

Occasional receipt from a Subscription or Client project

Correct the card first, then use Regenerate document on the receipt, before a collection is recorded. An issued receipt does not update by itself; regeneration also updates the amount still to collect.

Undoing a payment

Undo the collection takes the document back to To collect, but the effect on the accounting records depends on the payment:

  • Payment of a single due date: the movement is reversed in full.
  • One payment that settles several due dates: on the chosen row only its share is reversed and the others stay collected. With €900 settling two due dates of €450, undoing the first leaves €450 collected.
  • Invoice created from a pro forma already collected: undoing the inherited balance reopens the credit on the invoice, but the receipt stays in the accounting records, on the pro forma.

A payment already refunded, or not recorded by hand in Reneva, cannot be undone from here.

Closing or reopening a quote

For a quote that must no longer be accepted, open the document, click the status pill and choose Declined: enter the reason and, if you like, a note. It stays in the archive and can no longer create documents or client projects.

To reopen it, even if it has expired, choose Pending and enter the New validity date. An accepted or already transformed quote cannot be reopened. The link already sent does not work for the new version: send the quote again.

Cancelling a pro forma

From More actions use Cancel pro forma for a pro forma that must no longer request payment: choose the Outcome. The pro forma stays available as cancelled and open due dates and reminders stop.
