Client project installments and payments

Split a client project into installments, record payments and issue documents.

If the client pays at different times, split the client project into installments: each has an amount and due date and is where you record payment or issue a document.

Split into installments

In the Line items and amounts tab, select Split into installments in the totals summary: the Installments window opens. Enter the number of installments, an optional first-installment percentage, the first due date and the days between installments.

Reneva proposes equal installments 30 days apart, the first not before today; you can change each date keeping them in order. With Edit installments paid or documented installments stay fixed and Reneva splits only the remaining amount.

Installments

When creating, the plan sits below the line items and totals, after saving above the line items. Each row shows installment, due date, amount, payment and linked document, with actions beside it. A label shows whether the project is To collect, Partially paid (with the amount collected) or Paid, and turns red when an installment is overdue.

If you change the project total, Reneva adjusts installments that are still free; paid or documented ones keep their amounts.

What they divide

Installments divide the Line items amount: line items minus the discount on the total, without the INPS surcharge. If the sum of installments differs, a notice appears above them. VAT, stamp duty and total sit on each installment, in the To collect column; the summary shows the INPS surcharge and the Taxable amount, which includes it as on a renewal.

Stamp duty, when due, applies to each invoice: several invoices can mean several stamp charges.

An installment's document

It carries one line per project item, with the installment's share and the item's description followed by the installment name (for example "Design — Deposit"). Shares are rounded to the cent and the last installment closes the remainders, so installments of each item sum to the item; a fixed-amount installment is split in proportion to the items. A project without items keeps the single line.

Recording a payment

On an uncovered installment select Invoice the installment and create the document. The proposed due date is the installment's; if it has passed, Reneva proposes today plus the company's payment terms, without moving the installment. When the money arrives, open the linked document and use Record the payment: the installment updates by itself.

If you record it by mistake, open the document and use Undo the collection: the installment becomes collectible again without rewriting the plan.

The client project paid in one go

Without installments, create the document from the record and record the payment there. A payment without a document can only be recorded under Movements. If an invoice, receipt or pro forma already requests payment, open it and use Record the payment (Document list and statuses).

Documents per installment

On an installment project, issue from the individual installment with Invoice the installment. With a quote, Convert to invoice issues the first installment, while Create document on the card issues only the quote for the whole project. The document takes surcharge, withholding, stamp duty and pension funds from the project's Tax choices, in Line items and amounts below the totals; if it comes from a quote, the quote's choices pass to the card.

An installment with an issued document cannot be invoiced twice. For an installment already invoiced outside Reneva there is no action that marks it as issued: it stays to be invoiced until a Reneva document exists, but it does not stop the other installments. Type, sending and Fatture in Cloud: Issuing a document.

Notify the client now

Notify client, from the list, card or installment, prepares a manual notice: check text, amount and recipient before sending. Without an email you can record it without sending. Notices remain in the project's Notes and sending log.

Where do I see cash coming in

The Installments column shows how many installments are paid and the next due date; the Collected, To collect and To issue tiles follow payments and documents. For late payments filter Collection → Overdue and sort by Amount to collect first. For trends over time open Analysis.
