What goes into the Accounting records and the package

The Download tabs, which date drives each one, and how to read voided documents and incomplete ones.

From Accounting → Accounting records, Download prepares the files for the period chosen in the Download from the Registers window: the list's period is only the starting value.

What to download

  • Cash journal — the chronological ledger of income and outgoings for the period.
  • Cash — income and outgoings for the period, with the opening balance and the closing balance.
  • Tax — the non-filing tax summary.
  • Documents summary — the matrix of issued documents by month and type.
  • Issued documents and Received documents — the detail with amounts, status and payments received or made.
  • Expenses — the expenses by accrual date for the period, with links and payment.
  • To collect and to pay — what is still open at the period's closing date: a snapshot, not a flow. It does not rebuild the past in full: a document acquired after that date (for example a September invoice imported in October) can be missing at 30 September, and old due dates deleted by later transformations may not appear. To have the snapshot of a given date, download it when the period closes.

When you can download the package for Documents, Expense PDFs and Attached documents and XML files are added as well.

A single report is downloaded as CSV. When you select multiple reports or add originals, the ZIP contains registri.xlsx, with one sheet per selected report, and the selected attachments. The same attachment appears once even when linked to both an expense and a document; different files with the same name remain separate.

In Issued documents, in the Tax summary and in the Period check, Stamp duty due shows the stamp duty declared on native documents, even when you did not charge it; Stamp duty shows how much you charged the customer. For e-invoices and their credit notes it is the stamp duty to pay with the F24 form; on receipts it is paid with a stamp on the original. For example, an invoice where you bear the stamp duty has €2 due and €0 charged.

If the declared stamp duty is undocumented, the cell stays blank: it does not mean zero. Check the original document to verify the amount.

In the Issued documents CSV, the aggregate column previously called Rivalsa is now called Contributions and keeps the same total. The detail cells show, when present in the issued fiscal snapshot, the type and amount of the professional funds and INPS surcharge, plus the VAT details, with taxable amount and tax by rate and nature (for example «22%: 1100.00 / 242.00; 0% N4: 200.00 / 0.00»).

These are separate informational details and must not be added to Contributions. For historical records without these details, the cells stay blank: the current company profile does not recalculate documents already issued.

Which date drives each one

  • Documents — the issue date.
  • Movements — the actual date of the operation; the value date never counts.
  • Expenses — the supplier document's date; if it is missing, the expense's own date.

Voided documents and credit notes

A voided invoice keeps its amounts in its own issue period; the linked credit note offsets it only when it falls in the same period, otherwise the invoice weighs in its period and the note in its own.

For cancelled documents without a credit note the files use different criteria:

  • Issued documents and Received documents — a non-fiscal cancelled document stays in the list, with amounts at zero.
  • Documents summary — a cancelled quote or proforma drops out of the summary.

Incomplete documents

The Tax summary counts separately the documents missing a date, a taxable amount, a tax amount or a total; the ones without a date show up in the No date row. Open them and complete them before handing over the period.
