Email and alerts

Due dates, internal alerts, client emails and sending settings.

Email and alerts separates alerts you receive from emails sent to clients.

Tabs

  • Due dates — who receives internal alerts and, on two timelines, when emails go out: client payments and expenses to pay.
  • Sender and signature — signature and sending from your address.
  • Send log — sending attempts recorded for the current company.

The style of PDFs and emails is chosen in Appearance, inside General.

Due dates

At the top, choose Who receives internal alerts, among the users who see all the company's clients; to start with, the administrator. Each person receives in the bell and by email only the alerts for the sections they can see: the single due date of a subscription or client project, the expense alert and, if they can also see documents and all three sections, the summary. An alert none of them can receive goes to the administrator.

Below, on the left, in a box, is the timeline: Client payments or Expenses to pay. Each item is a card with its own switch, the Internal or To the client tag and, in the margin, the days it goes out: they are read from the item's Days field. Tap an item to open its fields on the right (days, exclusions, subject and text); an item that is off shows only its description. Turning off does not delete: days and texts stay saved. On the phone the timeline comes first; tapping an item opens the panel at full width, with Back to return.

  • Issue: the email for sending documents is always on and has no switch.
  • Subscription due-date notice: concerns the service renewal. An invoice, receipt or proforma already issued for that period stops this client notice.
  • Expenses to pay: the alert to you before an expense is due, with its own switch and days. It stops when the expense is paid and does not go out for expenses paid automatically.
  • Every month: the due-date summary, on the days of the month you choose. It is not a step of the document: it sits in a band below the timeline, the same for payments and expenses.

Notices for issued documents follow payments that are still outstanding. Choose a phase to open its fields: only one panel stays open. In the document's confirmation, the general settings are shown as enabled if at least one of the four phases is on.

Phase When it is sent
1st notice On the days before the due date you choose in Days.
2nd notice Before the due date, on the days you choose in Days.
Due today On the due date, shown as 0.
Payment reminder On the later days you choose in Days after.

1st notice, 2nd notice and Due today start turned off. To enable an advance notice, explicitly choose the days; you can select more than one. For an invoice due on 20 Oct 2026, you could choose the first notice 7 days before (13 Oct 2026), the second 2 days before (18 Oct 2026), the notice on 20 Oct 2026 and the reminder 7 days later (27 Oct 2026).

Exclude payment methods applies to the individual phase. For example, to exclude automatic debits from all notices, select that payment method in each phase.

In Payment reminder, the summary of saved restrictions shows any amount limits or document types that still apply. Even though these limits have no editing field, saving days or text does not remove them.

On the document, Turn off reminders stops all phases. Turn on reminders can reactivate Payment reminder, but does not turn on new phases that are off for the company. Automatic notices stop on collected documents and are limited to one per document per day. The manual Send reminder action remains available for an open payment, even if its method is excluded from automatic notices.

Send log

The administrator can search by subject or recipient. The Type filter offers standard events, such as sending a document or a payment reminder. Period limits the sending date in the company's timezone; for a custom range, you can enter either boundary on its own.

Select a row or Read to open the saved email. Sent means the sending attempt succeeded; Failed shows the recorded error. These outcomes describe sending: the recipient reading the email is a separate event.

Outcome to check means the attempt has no confirmed outcome. The email may have arrived even if the connection broke during sending. Check the log and delivery before trying again.

The preview shows To, Sender and Sent on, along with any attachments. When a historical attempt has no sender or recognised type, the value remains —: it is not reconstructed from the email subject.

Send email from your address

Enter SMTP details, send a test and check the mailbox. Reneva uses your address only after a successful test. When you change SMTP details, test again.

Use Email variables to put a client, amount or due date into text without typing it again.

Email preview

In Due dates, the text of every email (document sending, single due date, reminders, payment reminder, summary, expenses) opens as a preview: you see the email as the client will receive it or as you will receive it, with the variables resolved on a company record; when there is none, it uses an example. Emails to clients carry the company's logo, colours and signature. To change the text choose «Edit» above the box; «Preview» brings you back to the updated rendering. Saving does not change.
