Companies, users and roles

Add companies and people, and decide what they can view or edit.

Open Companies and users: here you manage the companies you work with, the people who access Reneva and their roles. The page is visible only to the Administrator role.

Companies

In the Companies section enter the data Reneva uses in documents: legal name, tax setup and the information used on invoices and quotes. Use Save to submit the record or Cancel to leave: missing required details are flagged on submit.

New company

+ New company opens the same form used to edit; data, payment methods and settings stay separate from other companies. For the Italian flat-rate and ordinary regimes, Autofill next to the VAT number finds the company and fills only empty fields; occasional services need no VAT number and show no lookup.

If you have used the included company allowance and can buy an additional company, fill in the record first, then choose whether to bill an existing company or the new one and review the amount. The new company becomes operational only after payment is verified; if purchasing is unavailable, the button explains why.

Before confirming use Edit before payment; after, Resume purchase checks payment without creating another company. This purchase's billing recipient does not change the company selected for renewals in Plan management.

Company data

Complete legal name, country and logo. The country decides which tax setups are available and sets currency and time zone; changing it updates only details that can still be changed. The currency changes the symbol, not the amounts. The logo appears on document PDFs and emails: to change it open Settings → General, open the company and upload the file in Company logo.

Tax setup

Choose the tax setup before issuing a document: Reneva uses it for VAT, withholding tax, surcharge and stamp duty. Add the €2 stamp duty starts enabled and decides whether to add it to new documents over €77.47, even after the first invoice; existing documents keep their amounts and data (see the example). New companies start with a suggested 22% VAT rate, including outside Italy: change it before issuing if needed.

Check the VAT number, tax code, country and tax setup before the first tax document: after the first invoice, receipt or credit note these four details require support to be corrected; quotes and pro formas do not trigger this lock.
The currency locks first, on its own: a single payment request, a movement, or even one live quote or pro forma (not voided) is enough. From then on it needs support to be changed.

Legal name, address, logo, IBAN and contact details remain editable, affecting future documents only. To correct locked details contact support: the company keeps its history, payment records and credit notes. A company that has issued tax documents cannot be deleted, nor can one if a user would be left with no assigned companies (reassign them another first).

When you resend an issued document, its email and payment reminders keep the document's payment instructions, as the client portal does. If you change the IBAN, the new one applies to future documents.

Document data

The record contains the details shown on documents; document language, payment terms and the default note are in Document issuing. The number suggested on creation can be changed: it must be positive and not already used for the same document type, company and year.

Users

Create and invite user adds a team member with role and visible companies. Reneva sends a personal link to set the password, usable once and valid for one hour. Leave Companies empty only if they must see every company. First name, last name, email, role and companies can be changed later; the password only from their personal profile.

An Administrator always sees every company (the field does not appear). Only an Administrator can appoint another one and the last one cannot be downgraded or deleted.

The accountant

In Create and invite user choose the Accountant role, enter their email and the companies to follow, including all; Invite an accountant opens the same form with the role selected. The professional uses their own registration and email verification, with no separate internal user (how to invite).

The Reneva accountant's access cannot be revoked during the paid period (Revoke access explains why); you can remove it when that period ends. An invited external accountant can always be removed; revocation preserves the history.

Roles

+ New role decides the data scope, what is seen of the numbers and what can be done in each section. Data scope: All the company's clients or Only the clients they follow, meaning those with them in Who follows the client: for those clients they see everything (subscriptions, client projects, documents, payments, emails, projects), of the hours only their own, everywhere; AI suggestions do not appear.

Two toggles add views on the numbers:

  • Sees costs and margins — shows "My cost" and the margins on renewals and client projects.
  • Sees the analysis — opens Analysis, with the trend over time of renewals, client projects, documents, expenses and hours.

Roles: three levels per section

For each section choose:

  • Hidden — the section disappears from the menu.
  • View — lists and records in read-only mode (export stays available).
  • Edit — full operational access.

The Administrator role manages everything and cannot be changed: General, Payments and Email and alerts are its alone. Customizations is assigned like the others: with Edit the user creates and corrects categories, tags, colours and fields, also from the "+" next to fields; the default Accounting role has it on Edit, unless set otherwise. Before deleting a role assign its users to another.

The Accountant role

It cannot be deleted or renamed. It always has All company clients, visible costs and margins, Analysis, Clients on View and Documents and records on Edit: locked fields (the own-clients scope cannot be enabled and Set all sections to… preserves the fixed permissions). Expenses and suppliers starts on View and, like the other permissions, can be changed. The role applies only to assigned companies or those covered by the active Reneva service.
