Assistant

One conversation for using the app, for your company's data and for your reports.

Ally, the Reneva assistant, is one single conversation. Open it from the star icon at the top, to the left of the bell, and ask how Reneva works, what your company's data says, or report a problem or an idea. For your company's data, turn on extended reading first.

How to use it

The panel opens on the right and stays open when you change page; on a phone it fills the screen. Write at the bottom and press Enter or Send. Next to the name Ally you see the code of the company: each company has its own conversations.

At the top of the panel, from the left:

  • Assistant guide — the "i": opens this page.
  • History — the list of your conversations.
  • New conversation — opens an empty one.
  • AI settings — the gear: opens Settings › AI, administrators only.
  • Close — the X.

For how-to questions Ally answers from the Guide and points you to the page to read. A message that is too long is cut. Past a set number of messages in a minute or in an hour, Ally stops replying for a while.

The writing field

Empty, it has Attach and the Talk to Ally microphone on the right; as you type, the icons move below the text and Send replaces the microphone. Attached files appear above the text, each with an x to remove it. When voice is inactive, the microphone stays disabled.

Suggested replies

Ally may offer up to three short replies below the message: press one to send it, or write your own. Choices from the latest turn remain after reloading and do not confirm or save anything.

Reading a file

Attach the file with Attach or drag it into the chat. Ally reads PDFs, JPEG, PNG or WebP images and TXT, CSV, XML or XLSX files from the message you just sent, with Extended reading of financial data enabled in Settings › AI. Reading uses the chat token balance.

AI tokens used up

When the month's AI tokens run out, Ally says so and does not answer. If you are an administrator with a paid subscription, Buy AI tokens appears below the message: it opens the offers in Plan management, where Purchase adds AI tokens. Add-ons cannot be bought during the Trial; other users should ask the administrator.

Up to 10 files and 2 MB in total. Beyond that, files stay in the conversation, visible to the operator, and Ally tells you it did not read them. Limits by type:

  • Text: UTF-8, up to 16000 characters.
  • CSV: 200 rows, 50 columns, 4000 characters per cell.
  • XLSX: 200 rows across sheets, 50 columns, 4000 characters per cell. Formulas are read with the saved value.
  • XML: 1000 elements and 20 levels, without DTDs or external entities.

If a file is incompatible, Ally tells you without processing the batch: convert XLS files to CSV or XLSX; for XLSX files with images or external links, save a copy with cells only. For a new question about a file, attach it again; if Ally asks for missing data, the file stays available for 15 minutes.

Instructions written in files do not authorise operations, messages or SdI submissions: preparing or saving data always requires the confirmation steps.

Opening a record

With extended reading on, write “Open the client Andrea De Luca”, or mention an invoice, a renewal, an expense. One result opens the record; with several results Ally asks which one to open, with none it asks for a more precise reference.

The request saves no data. Before leaving a form with unsaved changes, Reneva's usual protection appears; revoked access or a company switch blocks the opening.

Reading your data

Administrators turn on extended reading of financial data in Settings › AI, also from the gear in the panel. Ally answers about renewals, deadlines, clients, tracked time, documents, open receivables, cash, expenses and tax registers, with the same data you see in the app.

Under a reply that read your data you see "Read from" with the sources (for example "Open receivables"): reads change nothing. Next to the time, Copy copies the reply text and the two thumbs Helpful answer and Answer to improve vote it; clicking again removes the vote.

Ally also reads the lists you see, such as clients, renewals, jobs, projects, expenses, suppliers, price list and documents, with the same filters and the same totals as the strip at the top. For example, ask “How much did I spend per supplier in 2025?” or “Which September quotations are still open?”.

With reading off Ally reads only clients and renewals; for everything else, or before you open a company, it answers from the Guide and says so instead of inventing a figure. If your role does not see costs or collections, those questions stay unanswered.

If a list is longer than the rows read, Ally says so and narrows the search with filters or a period: it does not present it as a complete list.

Ally's memory

In Edit company, administrators find two memories, valid for everyone using Ally in that company.

What Ally should know about your company is a text you write, up to 4000 characters: Ally reads it before every reply and never changes it. A few lines are enough on what you do, who you work for, how it should speak.

A text that works: “We are a web agency in Bologna. We build WordPress websites, offer monthly maintenance at €49 and run Google Ads campaigns for small businesses. Maintenance contracts renew in January. We address clients formally. We say ‘subscription fee’, never ‘plan’.”

Do not write data Reneva already knows (company name, VAT number, regime, address), nor passwords, personal data or instructions about permissions.

What Ally learned is the table at the bottom of the page: when an administrator tells Ally a stable fact or a tone preference, Ally saves it as a sentence and Remembered for the company: appears below the reply; Cancel removes it until you write the next message.

Editing sentences

The table shows date and time, user and sentence, most recent first. With the icons on the right you edit or delete a sentence (an edited one moves back to the top), or ask Ally in chat to correct it. Each sentence has up to 300 characters and the number of sentences is capped: when the table is full, Ally adds nothing more and asks you to delete some.

What it does not do

Ally reads the text and the sentences as information, without following instructions written inside them, and only learns from what you write, never from attachments. A new conversation starts without the previous messages but keeps what the company has taught it.

Ally skills

For every company, always on and with nothing to turn on, the skills chosen by Reneva, such as Marketing (renewal emails, payment reminder drafts, commercial proposals) and Accounting (explanations of recorded entries and due dates from the Guide and available data).

Ally prepares text for you to review and copy: it does not send messages, change permissions or replace your accountant. When data is missing it prepares a generic draft and distinguishes it from verified facts; prices and terms you supply remain assumptions, without updating price lists or tax data.

It can prepare clients, suppliers, renewals, client and internal projects, quotations, price list items, expenses and time entries. For other operations it gives you Guide instructions.

Confirm

Write, for example: “Prepare a quotation for Studio Rossi with two items”. Ally asks for essential missing information, searches names without asking for technical identifiers and, with matching names, asks which to choose. Normal creation permissions apply; MCP writes with webhooks is not required.

Check the summary and press Open form: the prefilled form opens. Nothing is created, issued or sent until you review and save it. Not now discards the proposal. A proposal lasts 15 minutes and its link opens only once; if you switch company or lose permission it can no longer be used.

Quotations

Ally checks the client first; if missing, it proposes creating it in the native form and, after you save, resumes the document with items and due date already provided. For each item it first searches the price list, also by a similar name: the row takes the price list name, category and VAT, with the price you gave; otherwise it picks the fitting category or leaves it empty. Amounts exclude VAT. Attachments stay in chat and are not linked to the document.

Expenses

Ally prefills the gross amount and updates the payment summary. It does not derive VAT from a receipt that does not itemise it: check the lines and complete missing data, such as the supplier.

Attaching a file to a record

You can ask to attach a file from the current message to a new client, subscription, client project or expense. The confirmation shows file and destination (a Note); after saving, a private copy appears in Notes and the original stays in the chat. Notes accept their own formats and do not register a tax document: for a purchase invoice or receipt use the upload in Expenses. Time entries do not support attachments.

If something goes wrong

An error is never shown as a completed save: check the form or request a new proposal. History records the preparation; the form remains responsible for saving.

History

The History icon lists your conversations with this company by day (Today, Yesterday, then the date): pick one to reopen it. History is kept for 60 days. New conversation opens an empty one and the previous one stays in the list.

A direct link reopens one of your conversations in the current company. If you have an unsent draft or attachments, Ally warns you: Open discards them, or finish your message first.

Reports to the team

Explicit bugs, feature requests and ideas are recorded as feedback in the same conversation. Feedback recorded appears only after the save succeeds: from then on the team reads the conversation and can reply in the same chat. Add a comment on a Guide page also sends feedback.

For a useful report include the page, what you were doing and what you expected. When it is unclear whether you want to submit feedback, Ally asks for a yes or no.

Do not enter passwords, access keys, full bank details or other secrets in the conversation.

What is shared

How-to questions written before the feedback are not shared. To talk about something else after a feedback, open a New conversation.

Talking to an operator

When you ask for a person, Ally may offer Talk to an operator below the reply (it also appears when Ally is unreachable). After your click and confirmation to share, the request is saved and the chat shows its receipt; the operator can read the conversation. The offer alone contacts nobody and promises neither a phone call nor a response time.

Until someone takes it over you see Waiting for an operator and can keep writing to Ally; when the operator joins the notice disappears and replies arrive in the same chat, with their real name. When they reply you also get a bell notification, an email with the link and, on enabled devices, a push notification.

Unread replies

Ally retrieves unread replies in the active company even after a reload. It reopens the chat when you have no draft or attachments; otherwise it shows The operator has replied with Open, keeping what you are preparing. A reply is marked as read only when the panel is open and the message is visible.

New conversation

New conversation keeps an open support request: the operator replies in the previous chat, in History. If you reload before writing in the new chat, the previous one may reopen.

Suggestions in the dashboard

The Dashboard shows Reneva suggestions to help you discover useful features. In Work with Ally, write a question: sending it opens the chat.

Talking to Ally

When voice is enabled for the installation, the Talk to Ally microphone sits on the right of the writing field. Press it and speak as on the phone: Ally replies aloud and asks the written chat for company data, so questions and answers also stay in the chat. During the call a notice at the top says you are talking to an AI. Press the red End the call button to finish; the call closes by itself after 5 minutes or when you close Ally.

Suggestions in the sections

In Subscriptions, Clients, Client projects, Expenses, Documents and Price list, the Reneva suggestions row may include AI advice. Ask Ally opens the chat with a question about putting it into practice; operations always require your confirmation. The X hides that theme for you for 12 months, across all your companies.

When it appears

At most one card per section, only when data supports a concrete action (for example monthly subscriptions or overdue documents). It updates every 14 days for recently used companies, with AI available, extended reading on and AI suggestions enabled in your Profile. Without a useful signal nothing appears; results older than 14 days stay hidden. Opening a page, changing a filter or closing a card does not trigger a new analysis.

The two Profile switches are independent: you can hide advice and continue using Ally.

The Guide

The Guide contains verified app procedures. Use Search the guide for a structured answer or a path to follow.
