Managing price list items

Create, edit and reuse services with prices and costs.

A price list item saves a service with its price and cost. The price list belongs to the active company and is reused in subscriptions and client projects.

Creating an item

Open Price list and press New line item, or choose New → Price list in the top bar.

Field What to know
Category Required. The + creates a category without leaving the record.
Name e.g. "Showcase site maintenance."
Price Net, before taxes.
Discount Optional, as a percentage or euro amount.
My cost Your net cost. Enter it to calculate the margin.
How to calculate the cost Direct cost is the cost of the single item. Shared cost is an internal yearly cost serving several subscriptions (a hosting plan, a licence): enter the yearly cost and, when seats are limited, the Seats covered; Reneva derives the share per seat and shows it in the item.

Confirm the window with Create item.

Prices, discount and margin

Client price shows the applied price, discount included. Margin is the client price minus the cost. You see costs and margins only with the related permission.

When you add an item to a subscription, Reneva copies its My cost into the row. A shared cost is not copied: the share per seat stays information in the Price list. With €120 a year and 12 seats, for example, the Price list shows €10 per seat, but that €10 does not enter the subscription's margin by itself. To count it, enter it in the My cost of the subscription row.

Duplicating (even into another company)

Open More actions → Duplicate to create a copy with the name, category, price, discount and cost. If you can use more than one company, also choose the Destination company: there the copy takes the category with the same name, if one exists, and no colour.

Updating many items

To change many prices at once, for example in your yearly price review, export the price list to CSV, edit prices and costs and import it again: items are updated by ID. The import is done by an Administrator.

The change applies to new items added to subscriptions and client projects. Open an existing subscription or client project if you need to update an agreement already made.

Deleting an item

Delete an item only when you no longer want to offer it from the price list. An item used in a subscription cannot be deleted: use Archive, which removes it from lists and dropdowns and leaves the subscriptions as they are.

Importing and exporting

Use Import to upload a CSV with name, category, price and cost. Use Export to download the catalog and review it in a spreadsheet.

Price history

The item's Notes tab shows price, cost and discount changes, and the reason for an archiving.

From the list, use row actions or select several items for bulk actions. The summary and category views remain available on the same page.
