Archiving or deleting a client

When to remove a client from lists and when to delete them.

Use Archive when you no longer want to use a client but need to keep their history. Use Delete only for a row created by mistake and with no data to protect.

Archive

Archive removes the client from lists and new selections without deleting linked activity. Find them with Status → Archived, then use Restore if they need to become active again.

If the client has active portal access, archiving revokes it right away: see Send by email and client portal.

The button is disabled, with the reason, if the client still has any of these:

  • Active subscriptions or recurring expenses: archive them first.
  • Client projects still to be collected: close them first.
  • Open or overdue invoices: collect them first.

Delete

Delete is final. Reneva blocks it when the client has issued documents or subscriptions or client projects with collections to preserve; archive the client in that case.

Duplicates

The client of an existing subscription or client project cannot be changed. To move the activity to another client, use Duplicate in More actions, choose the correct client and check the draft.

Duplicate creates a new draft: it does not carry over documents, collections or history. Invoices and collections already recorded stay with the original client, so a duplicate client with issued documents is archived, not deleted.
